How to Cancel, Archive, or Postpone a SignUp

Three Steps to Wrap Up or Pause an Event When Plans Change

When an event is canceled, postponed, or no longer needed, the right process is the same: notify your participants, archive the SignUp to preserve it. Here is how each step works.

Step 1: Notify Your Participants

Participants do not receive an automatic notification when a SignUp is archived or deleted. Always send a message first.

Go to the Messages tab in your Organizer view. For multiple SignUps at once, use the Advanced Messaging screen in My Tools. You can target your message by participant status, date, or shift.

Step 2: Archive the SignUp

Archiving hides the SignUp from participants while keeping it intact so you can restore or reuse it later. On your Dashboard, find the SignUp, click the gear icon, and select Archive. To archive multiple SignUps at once, use List View.

Archived SignUps can be restored or permanently deleted from the Archive section of your Dashboard. Note: deleting a SignUp is permanent and cannot be undone — archive instead if there is any chance you will want it back.

A Few Things Worth Knowing

  • To reschedule rather than cancel, restore the SignUp from the Archive section and then modify the dates.
  • Always notify participants before archiving — they will not know anything changed unless you tell them.

Plans change. SignUp makes it easy to handle them gracefully.
