How to Plan Parent-Teacher Conferences with SignUp

SignUp makes it easy to set up parent-teacher conference slots, send invitations to families, and track who has signed up — all in one place. Individual teachers can set up their own SignUp in four steps, and schools can coordinate conferences across their entire staff.

For Individual Teachers: Setting Up Your Conference SignUp

Step 1: Provide Details

  • Set the SignUp kind to Single or Multiple Days.
  • Choose Parent Teacher Conference as the category.
  • Name the event using your name plus grade or subject (e.g., "Ms. Hernandez — 3rd Grade").
  • Add a welcome message for parents and include your location — room number, a virtual meeting link, or both.
  • Uncheck the option to show other Participants' names, and hide Participant comments.
  • Add a required Student Name text field so you know which child each time slot is for.

Step 2: Add Conference Spots

  • Set how many parents per slot (usually 1) and the appointment duration (e.g., 15 minutes).
  • Add breaks between appointments as needed.
  • Select your conference dates from the calendar.
  • Optionally include parking instructions or virtual meeting links in the spot details.

Step 3: Choose a Theme and Invite Families

Pick a visual theme with your school logo and a background, then invite parents by email, shareable link, or manual assignment. After sending invitations, monitor signups from the Spots or Reports tab in Organizer view.

For Schools: Whole-Staff Options

  • DIY: Each teacher sets up and manages their own SignUp independently.
